Squinting Eyes Want to Know….

Microsoft seems to think that as technology allows them to make things smaller and smaller, people will be able to read the tiny writing on the displays of new computers.

Luckily, there are several methods you can try so you don’t have to go out and get glasses!

Method 1 - Change Screen Resolution with Display Settings

  • Go to Start > Control Panel > Display.
  • Choose the Settings tab.

  • Find the Screen Resolution slider, and use your mouse to drag it to the left.
  • Hit the Apply button to try out the new setting without committing to it.
  • Choose OK to keep the new setting. If you do not like the new setting, choose Cancel and try a different setting.
  • Experiment until you are content with the screen resolution.

Method 2 - Change font size with Appearance

  • Go to Start > Control Panel > Display.
  • Choose the Appearance tab.

  • Near the bottom choose Large Fonts from the drop down - or Extra Large Bonts if you’d prefer.

  • Again, choose OK to keep the change, or cancel if you do not like it.
  • Another setting on the Appearance tab which might help is the Effects button which will allow you to make your icons larger.

Creating a PDF from any program

You want to make a file you made in Word, Excel, or Publisher (just about any kind of file) into a PDF.  It is easier than you think. If you have Acrobat installed on your machine, you have an option in your printer list to choose Adobe PDF. When you use this option, you are essentially converting your item to a pdf. Your original document remains unchanged, and a second file with a .pdf extension is created. Here is how to do it:

  • After you save your document (and it is still open) click File>Print.
  • In the Printer Name dropdown box choose Adobe PDF.

Find Printer

  • A Save As box will appear - choose a name and location
  • Adobe Acrobat will open and your new pdf will appear

The benefit of using PDF for documents that you post either to Blackboard, or email, or discussion groups, is that it is difficult for the recipient to change the file- in fact in Adobe you can set properties that limit what the recipient can do. For example, you can make the document unprintable, you can make it default to a specific size upon opening, and you can make it uneditable.

To set permissions on your pdf you will need Adobe Acrobat Pro:

  • Choose File>Properties
  • Choose the Security tab
  • Choose Password Security from the Security Method dropdown

  • Near the bottom of the resulting window is a section for Permissions

  • Check the Restrict editing and… box to enable restrictions.
  • Use the dropdowns to affect your changes
  • Choose OK to set restrictions or Cancel to leave the box without setting permissions.

Reducing Redundancy Reducing Redundancy

Get it? I was redundant in the title…get it? Ok - so I am not funny.

This post is about email. Imagine this. You have a great presentation you want to share. It is 40MB. What do you do? If you send it via email to a distribution list a few things happen. YOUR email SENT file will get a 40MB file- which is close to 25% of your quota. You also perpetuated that 40MB file to everyone on your distribution list - many times clogging their email.

What could you do differently? Well, if you have Blackboard, and you are sending files to students in your class, post it once on Blackboard. Do not send it via email.

What else could you do? You could post it to one web site, and then give your friends the url. Either solution means you are using only 40MB of server space. If you email it you are using at least 120MB of space, assuming you only send it to one person.

Everyone on campus can post things in a web folder where anyone can access it. PC users:

  • Go to Start, Run
  • Type \\files
  • Find your user id
  • Find the public_html folder
  • place your large file in that folder
  • now tell your friends how to find it
    www.princeton.edu\~userid\filename.xxx

PDF files of lectures can be handled this way as well.

If you receive a huge file - be sure to save it to your computer (if you really need it), and then delete it from your email.

Recycle and Reuse? How about limit use and eliminate waste!

The time has come for all good men to stop using so many resources! Let’s start with paper. Among the many wonderful uses of Blackboard, one can post handouts rather than spending the time printing, copying, and lugging a stack to class. Simply post classroom handouts and require students to bring them to class if needed. Many students now bring their laptops to class, therefore they could simply access the handouts online while sitting in the lecture.

Making Word Forms Usable

You made a Word form for students, or faculty, or maybe staff to fill out. It looks nice. But what happens when the user tries to use it? Did you test it by trying to fill it out? How did you get it to your intended audience? Did you email it? Did you post it on a web page? If it is in paper form, then how you designed it is not important. If it is in electronic form, your audience expects they will be able to fill it out electronically.

Too many Word forms use underlines to create a form field. When the user tries to fill it out, their text replaces the underline rather than sitting neatly on top of it. You do not have to learn about Word Form features to make a usable form. You just need to be comfortable with tables- or find someone who is.

Bottom line - use a table to create your form. Always, always , always test your form before expecting other people to use it.

Using diacritical marks on a MAC

It is easier than you think to be able to use any accent in Word on a Mac. However, you must at least have OS X and Word 2004.

First we have to set up the character palette, and then we simply use it to insert the needed charater:

  • In System Preferences choose International
  • Choose Input Menu
  • Place a check in the Character Palette choice
  • Close out of System Preferences
  • Now you are set up - you will not have to repeat those steps again

  • Open Word
  • Click on the American Flag icon in the menu bar
  • Choose Show character Palette
  • Use the Accented Latin choice to find the desired character and the click the insert button
  • That is all there is to it!

    Using F11 in Almagest

    F11 is a handy little trick that changes a browser to a full screen view. This is especially handy when presenting a lecture because full screen view removes the bottom task bar as well as the toolbars at the top of the screen. Unfortunately the F11 trick doesn’t always work on the first try. Here is a little trick.

    Always use FireFox to present images in Almagest

  • Go to Almagest
  • Select a project
  • Select a lecture and choose Slide Show mode
  • Once the images have appeared in Slide Show mode use the mouse to click in the black area surrounding an image
  • Hit F11
  • If that doesn’t work….

  • Minimize the lecture- you should be back on an Almagest screen
  • Choose View > Full Screen
  • Hit F11 to get out of Full Screen mode
  • Maximize the previously minimized lecture
  • Use the mouse to click in the black area surrounding an image
  • Hit F11
  • Using your USB memory stick

    USB Memory Stick

  • USB Memory Sticks, aka flash drives, aka USB drives, are the new floppy disk, but they offer much more space. Even a low capacity stick can take the place of dozens of floppy disks. High capacity sticks can hold a gig or more - that is approx. 1000 floppy disks!
  • USB memory sticks are extremely portable. They are the size of a lighter and can be attached to a key ring or a lanyard.
  • USB memory sticks are not invincible, they can get lost, stolen, or crushed.
  • USB memory sticks should be used for file TRANSFER - any file you put on a memory stick should exist elsewhere as well. Never put your one and only copy of your manuscript or thesis on a memory stick!
